Dear Fellow Bookkeeper,

Linda’s Story
Early on in my business, I began working with a client who had a marketing firm. This client was a friend of a colleague of mine whom I trusted and respected. When I initially met with them in February, I learned that they had been in business for 15 months and had not done any bookkeeping whatsoever. They of course were in a hurry to get their information organized so they could have their tax returns prepared and we also discussed providing ongoing weekly services so that their books would be up-to-date at all times.

 

I put together my proposal and scheduled another meeting with the partner who was to be the financial contact. My first warning sign came when the client said to me, “SO-and-SO told me what a great bookkeeper you are and that your prices are very reasonable, I have to tell you I was shocked when I saw your proposal especially when I have indicated that this is a new business and I have three other companies I would like you to do the bookkeeping for.”

 

My gut reaction was that one had nothing to do with the other however, I let the fact that this referral came from a colleague and the prospect of obtaining even more business distract me. In fear of this prospective client going back to my colleague and losing the potential business from the other companies, I discounted the set-up of their account to bring their books current AND the next 12 months of ongoing services. (What was I thinking?!) My action set the tone for our working relationship.

 

As the working relationship progressed, this client was demanding and extremely unreasonable. He did not seem to understand (or so I thought) that he had hired me for a specific set of services and a specific range of hours. He would dangle the other companies in front of me and I would once again go back and provide all of the services he requested, even the ones outside of what I was hired to provide because I believed he would hire me to work on the other companies.

 

I began resenting this account and cringed every time he called or emailed which seemed to be all of the time. I started thinking do I really want those other businesses? I am not making any money on this account right now. If I take on MORE of his business, I will REALLY be in a hole -- working all of the time for someone who is demanding, who undervalues my services and expects to pay close to nothing for services!

 

 

Laurie’s Story

When I first started my business, I took on any client I could get in the door. It was a regular 3-ring circus. At times I felt like I had multiple personalities playing all these different roles. I was marketing like crazy (doing 8 networking events a month), doing all the bookkeeping work for my clients, plus all of the administrative stuff. Oh yeah, did I mention that I was billing out at 35.00 an hour, trying to sell bookkeeping and controller services? I needed to leverage myself and my services, but I couldn’t because the client could not see the value in paying me one rate for bookkeeping and another rate for controller services. The client did not understand what the difference was between the two services and I was still too green to realize it was my job to educate them on the difference!

 

Trying to leverage myself and the services I offered, I had my first experience with employees. I hired two employees, one who worked for me for 1 year and the other who worked for me for three months before they both broke the non-compete agreement they had signed with me and my firm and went to work for my largest client, who I was billing $33,000 a year at the time. I was dumbfounded – how could this have happened? In a blink of an eye my biggest client had taken all of my employees and left me right back at square one, starting my business from scratch. I spent the next three years in costly litigation and had to start building my practice all over again!

 

I had to muster every ounce of strength that I had in order to try to grow my firm all over again. It was an extremely agonizing process trying to find the right employee with the kind of experience that I needed. I would hire an employee who looked good on paper, only to find out later that they did not know QuickBooks and lacked basic bookkeeping knowledge. What was I doing wrong that was making me attract these wrong employees? How could I trust these individuals with my clients? The reality is that I couldn’t. I went through several of these “bookkeepers” in my search for the right one. It was quite the process of trial and error. It wasn’t until four employee tries later that I hit pay dirt and felt like the person might actually work out. What a struggle I had trying to find a qualified bookkeeper. I felt like every person I hired, just couldn’t cut the mustard. I went through six people before I was finally able to find two good employees. Even still, it took me another several months before I was done putting out all the fires from all the bad ones.
